Cancellation policy

Thank you for choosing Atomic Exercise Physiology. We understand that unforeseen circumstances may arise, leading to the need for cancellations or rescheduling of appointments. To ensure that both our Exercise Physiologists and clients can effectively manage their schedules, we have implemented the following cancellation policy:

1. Cancellation Timeframe:

   Clients must provide a minimum notice of 24 hours prior to their scheduled appointment time in order to avoid any cancellation charges. This allows us to offer the appointment slot to other clients who may be on a waiting list or wish to book during that time.

2. Cancellation Charges:

   If a client cancels or reschedules an appointment within the 24-hour timeframe before their scheduled session, a cancellation fee will be charged. The cancellation fee will be equivalent to the cost of one full training session.

3. Methods of Cancellation:

   Clients are required to notify us of any cancellations or rescheduling requests through an accepted mode of communication, such as phone call, text, email, or in-app message. Cancellations made outside of our business hours (after 7pm) will be considered received on the next business day.

4. Exceptions:

   We understand that emergencies and unforeseen events can occur, and we will take these situations into consideration. In case of a genuine emergency, we may waive the cancellation fee at our discretion. Supporting documentation or proof of the emergency may be required.

5. Rescheduling:

   If a client wishes to reschedule their appointment within the 24-hour timeframe, the same cancellation fee will apply unless otherwise agreed upon by both parties. Rescheduling is subject to availability.

6. No-Show Policy:

   If a client fails to show up for a scheduled appointment without providing any prior notice, it will be considered a "no-show." In such cases, the client will be charged the full amount of the missed session.

7. Exercise Physiologist Cancellations:

   In the rare event that an Exercise Physiologist needs to cancel a scheduled appointment, we will make every effort to provide advance notice. If we are unable to provide sufficient notice and need to cancel within the 24-hour timeframe, the client will not be charged for the cancelled session, and we will work to reschedule at a convenient time.
